Our Cancellation Policy

We understand that plans can change. Work commitments, family matters, and unexpected events happen — and we genuinely want to be as flexible and understanding as possible when they do.

When a place is booked at one of our Centre events, we immediately commit to costs on your behalf, for example entertainment, venue hire, catering, equipment, and supplier minimum numbers. In some cases, those costs are fixed and must be paid, whether or not a member attends.

For that reason, our cancellation terms are designed to balance flexibility with fairness.
Our goal is never to penalise members — it is simply to ensure the Centre remains sustainable and fair for everyone.

By giving us as much notice as possible, you’re helping us to manage costs, offer a variety of rallies, and continue to provide the experiences which our members value.

The information below explains our rules for most of our rallies, but in some circumstances, for example, holiday rallies or rallies on commercial sites, we have to abide by the terms and conditions/cancellations policy of the hosting site.

How to cancel

Use the form below to cancel any rally you have previously booked on.

You will receive notification via email of the cancellation. Please note issuing of refunds is a manual process and may take a couple of weeks.

Our Policy

1. When you book a rally, you'll be able to pay your deposit online. For a weekend rally this is normally £5. For holiday rallies and special occasion rallies the deposit will be set on an individual basis.  You'll receive an invoice asking for the full payment, approximately 28 days before the rally start date.

2. If you cancel a rally 15 days or more prior to the start of the rally, we will refund 80% of your deposit.

3. If you cancel between 3 and 14 days before the rally start date, we will issue a full refund, less a £5 fee for late cancellation.  For example, if the rally starts on a Friday, cancellations received by us after midnight on the Thursday, two weeks before will fall into this timeline.

4. If you cancel less than 2 days before the rally start date, no refund of the full rally fee will be given*. For example, if the rally starts on a Friday, cancellations received by us after midnight on the Tuesday will fall into this timeframe.

*In exceptional cases, where the rally is full, with a waiting list, if we can re-fill your place, a partial refund will be considered, less a £5 fee for late cancellation.
